Nordmin Engineering Ltd. is presently accepting applications from qualified candidates for the following position:

ADMINISTRATIVE ASSISTANT

JOB SUMMARY

This position will be responsible for providing general front-line reception and administrative support, including scheduling meetings, planning events, and team communications, while also gaining experience in office, project, and technical professional systems.

KEY RESPONSIBILITIES

  • General office functions, such as distributing mail, greeting visitors, assisting with correspondence, monitoring office inventory and ordering supplies
  • Answering and directing all incoming phone calls
  • Organize meeting logistics, including room bookings, IT requirements, catering, and room layout
  • Coordinate cost effective and efficient travel arrangements when necessary for business travel
  • Manage and maintain schedules and boardrooms in online calendars
  • Collecting and managing deliveries to the office
  • Attend meetings and take meeting minutes as required
  • Assistance with filing and organization of documents
  • Maintain PPE inventory and assist employees with their PPE requirements
  • Data entry into relevant systems
  • Ensure office and reception area is opened during business hours and closed at the end of the day
  • Manage company fleet vehicles by coordinating requests, inspecting vehicles upon return, and booking maintenance when required
  • Other office duties as required

 

QUALIFICATIONS AND EXPERIENCE

  • College diploma in an administrative or business program
  • 3 years or more in an administrative capacity
  • Strong ability to prioritize and anticipate business/team needs
  • Highly organized self-starter with proven ability to multitask
  • Team oriented and ability to support team members and clients
  • Proficient with Microsoft Outlook, Word, PowerPoint, Excel, and MS Teams
  • Excellent written and verbal communication
