PROJECT COORDINATOR
JOB SUMMARY
The Project Coordinator is responsible to prepare, review, and/or edit various forms of correspondence such as proposals, invoices, presentations, publications, and reports. This position will assist the Project Managers to compile data for various reports. This role will also maintain a high level of confidentiality in all interactions with team members and clients.
KEY RESPONSIBILITIES
- Prepare, review, and/or edit various forms of correspondence such as letters, invoices, presentations, publications, and reports.
- Assist in the compilation of data for various reports.
- Maintain a high level of confidentiality in all interactions.
- Prepare agendas for meetings and transcribe and distribute meeting minutes.
- Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders.
- Review all documents, reports, and correspondence prepared for executive or management signatures for format, content, grammar, and spelling; make edits as necessary.
- Schedule and confirm appointments, meetings, and conferences for management team and/or clients/customers.
- Act as first-line contact with vendors or clients regarding billing problems.
- Assume the responsibilities of the Project Manager in their absence.
- Always maintain professionalism, tact, diplomacy, and sensitivity to portray the company in a positive manner.
- Monitor the daily progress of project tasks.
- Ensure project teams have the supplies and resources required to complete their assigned tasks on time and within budget.
- Aid in task management and assist with schedule management for projects.
- Assist with reporting on project budgets, schedules, and resource allocation for revenue-generating projects.
- Assist the Project Managers with WBS structures and contract management inputs.
- Aid with invoice reviews monthly if required by the Project Manager.
QUALIFICATIONS AND EXPERIENCE
- Engineering Technician or Technology graduate or equivalent.
- Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
- Ability to effectively communicate both verbally and in writing.
- Ability to work individually as well as part of a team.
- Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint).
- Strong writing, editing, and proofreading skills.
- Superior telephone manners and strong interpersonal skills.
- Three years of experience in a related industry.
- Demonstrated time management skills.
- High level of integrity and excellent work ethic.
- Certified Associate in Project Management (CAPM) designation is considered an asset.
